Information we collect

We collect captain account information, team names, team settings, schedule and rink-sheet details, player and ringer names, sweater numbers, positions, phone numbers, consent records, SMS logs, availability responses, substitute invitation history, billing identifiers, and technical information such as IP address, browser/device information, timestamps, and basic usage logs.

How we use information

We use information to create captain accounts, verify captain phone numbers, run hockey roll calls, process YES/NO/MAYBE replies, invite the right ringers, display game status, manage consent and opt-outs, provide billing and support, protect the service, troubleshoot delivery issues, and improve schedule parsing and roster workflows.

Consent records

Consent events may store the phone number, team, source link, disclosure version, timestamp, IP address when available, opt-in status, opt-out status, and related SMS activity. These records help us avoid messaging people who have not opted in or who have opted out.

SMS and mobile data

Mobile phone numbers, SMS opt-in data, and consent records are used to provide RingerText lineup and availability messaging. We do not sell mobile opt-in data, share it for third-party marketing, or use it for unrelated promotional campaigns.

Service providers

We share information with service providers that help operate the product, such as Twilio for SMS and phone verification, Stripe for payment processing and billing, hosting/database providers for infrastructure, and AI providers for schedule parsing when a captain uploads or pastes a schedule. These providers process information on our behalf to provide the service.

AI schedule parsing

When captains upload, paste, or scan a schedule, the schedule content may be sent to an AI provider to extract draft game dates, times, opponents, locations, and notes. Captains must review and confirm extracted schedule data before automation starts.

Retention

We retain account, roster, schedule, billing, SMS, and consent data while the team account is active and for a reasonable period afterward for legal, security, billing, and consent-record purposes. We may retain opt-out records to ensure we do not message opted-out numbers.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet or messaging system can be guaranteed to be completely secure.

Choices

Players and ringers can opt out of SMS by replying STOP or another supported opt-out keyword. Captains can manage team data through the admin portal. You may request deletion or correction of account-related information, subject to legal, billing, security, and consent-record retention needs.

Children

RingerText is intended for adult recreational teams and is not directed to children. Do not use RingerText to collect information from minors.

Changes

We may update this Privacy Policy as the product, providers, law, or carrier requirements change. Updated versions will be posted on this page.
